Business process
improvement that frees up time, capacity, and resources

We’ve helped Australian businesses across diverse industries identify and reduce operational inefficiencies, contributing to more than $5M in annual savings.

Where is your business losing time and capacity?

Most businesses carry inefficiencies that can be fixed, but rarely get flagged because they’ve become part of how things are done. The signs are usually the same, regardless of size or industry.

Disconnected systems.

Your tools don’t share data, so staff re-enter the same information across multiple systems, and errors compound at each handoff.

Repetitive manual work.

Tasks that were manageable at a smaller scale now take up hours of staff time every week, with no change in how the work gets done.

Processes that don’t scale.

Workflows built for a smaller team don’t hold up as headcount and transaction volume grow. The result is more time spent maintaining processes than running the business.

Understand

What’s actually happening?

We assess how work actually moves through your business today: the systems in use, the manual handoffs between them, and where staff time is going that shouldn’t need to.

Optimise

What shouldn’t be happening, and how should it work instead?

We identify what’s creating friction, including unnecessary work and inefficient steps, then map out how the process should work once it’s improved.

Implement

How do we make the improvement happen?

We put the solution into practice: redesigning workflows, improving systems and implementing the technology, integrations and changes needed to make the process work better.

Improve

How do we keep it working better?

We remain engaged after implementation, monitoring performance and refining the process as needs change. Automation can be introduced where it removes unnecessary work and creates further efficiency.

Here are proven, measurable outcomes of business process improvement across every industry we work in.

Gardner Denver Industries

Turning a decades-old Excel quoting process into a platform for growth

Gardner Denver had managed its complex quoting process largely through Excel for decades, believing the number of service combinations and calculations made it too difficult to systemise. Maytech analysed the process, simplified the underlying logic and built the complex calculations into a centralised quoting platform.

The result was faster, more accurate quoting with a better customer experience and complete management visibility across the quote pipeline. Most importantly, the new platform created capacity for growth, enabling Gardner Denver to increase its workforce, pursue more opportunities and produce more quotes without simply adding complexity to the process.

  • 45%

    Improvement in quote accuracy

  • 100%

Visibility over quotes and sales pipeline

  • 115+

Hrs/ per week saved on repetitive admin work

Dyers Transportation

Connecting the operation to reduce waste

Dyers Transport was managing customer records, contract jobs and ad-hoc jobs across disconnected systems and processes. With a nationwide operation, the lack of a single platform created significant inefficiencies, including poorly optimised truck routes and trucks travelling long distances without loads, directly impacting operating costs and profitability.

Maytech reviewed Dyers’ business model and operational pain points and identified that the solution needed to be delivered in stages. We started by implementing Microsoft Dynamics CRM alongside their existing Microsoft ecosystem, then built workflows and business rules around the way Dyers actually operated. The result was a more connected operation, better visibility and a foundation for improving how jobs are managed, routes are planned and resources are utilised.

  • 3X

Reduction in double handling of jobs and customer data

  • Improved

    Visibility into jobs, customer information

  • 11%

    Improvement in managing contract SLA

VE Furniture

Removing the bottleneck between enquiry and sale

When Maytech started working with Victorian Educational Furniture, preparing a customer quote was a largely manual process using Excel and pricing spreadsheets. A typical quote could take 2–3 hours to prepare, and during busy periods the delays meant the business was missing sales simply because it couldn’t respond to customers quickly enough. There was also no clear visibility of the quote pipeline, making it difficult to forecast demand, plan procurement or understand the likelihood of winning upcoming work.

Our review identified a number of opportunities to improve the way the business operated, starting with the highest-impact change. We automated website enquiries into one-click quotes, with customer-specific pricing applied automatically and quotes generated almost instantly. This delivered an immediate increase in sales while reducing manual effort and improving visibility. We then continued the transformation across the business, digitising and connecting processes to create a more scalable operation.

  • 100%

Shift from manual quoting to systemised quoting

  • 3.5M

Increase sales via direct website to quote enquiries

  • 42+

Hrs per week saved by reducing manual data entry

Do any of these sound familiar?

  • Your team enters the same information into multiple systems.
  • A critical business process depends entirely on a spreadsheet, instead of a proper system.
  • Approvals happen through email, with no clear record of who signed off.
  • Staff spend hours copying and reconciling data between systems.
  • Different people perform the same process differently.
  • Nobody is quite sure who owns a process.
  • You’ve added headcount simply to keep up with transaction volume.
  • Your systems don’t talk to each other.
  • A process works, but only because someone knows all the workarounds.
  • Your business has grown, but the way work gets done hasn’t.

If several of these sound familiar, more headcount or another system won’t fix it.

Why businesses choose Maytech for business process improvement

20 years of delivery experience across Australian businesses has shown us what works, what doesn’t, and where engagements go wrong.
One team covers discovery through to ongoing support. You’re not managing separate vendors for consulting, integration and automation.
Data handling and compliance obligations are scoped and confirmed in writing before work begins on sensitive processes. All IP transfers to you on completion.
Local communication, governance and accountability.
Processes need to keep working as transaction volume and headcount change. We remain engaged after go-live to make sure they do.

Frequently Asked Questions

Do you replace our existing systems?

No. We start by assessing what you already use and design around it, connecting and extending your existing tools rather than replacing them.

Can you work with our current technology?

Yes. Our starting point is always your existing stack. Recommendations are built around what you already have unless there's a clear case for change.

Do you only automate processes?

No. Automation is one part of the fix, applied where it's the right answer. Sometimes the answer is process redesign, better ownership, or system integration, with no automation involved at all.

What happens after the discovery session?

We provide a clear picture of what's causing the friction and what fixing it would involve. There's no obligation to continue, and no pressure if it's not the right fit right now.

Think one of your processes is costing more than it should?

Bring us the problem. We’ll help you understand what’s causing the friction and whether it’s worth fixing.
